One consideration if you’re using QuickBooks Online is that you are storing your company’s mission-critical data on Intuit’s server. They insist that it’s stored in multiple locations, with backups, and that all are encrypted. So I’m not really concerned about someone breaking into my file, but what I AM concerned about is that there is no way to go back in time, if something unexpected happens with my transactions (read: I make a big fat mistakebut I’m a ProAdvisor so that never happens to me). If I were using QuickBooks Desktop, I could always go into a backup file from a few days ago and restore it. But with QuickBooks Online, you don’t have that option, because it doesn’t make local backups. Here’s what you CAN do! Periodically, in QBO go to the Gear Tools Export Data.
This procedure will create a version of your financial data that you can view on a Desktop copy of QuickBooks. If you’re on a Mac, you can also use QuickBooks Desktop’s utility to convert the file for viewing on a Mac. This won’t allow you to change your data and then re-upload it, but at least you can sleep soundly knowing that if anything happens to Intuit, your company is not lost. An issue, though: When I tried this for the first time, it didn’t work, and I had to call QuickBooks Online support. Internet Explorer has several security settings that prevent the download and conversion from working.
Here are the steps I had to take. You do need to be on a PC using Internet Explorer to make this happen.
Press and hold ALT+T to get to the Tools Menu and then go to Security and uncheck Enable Protected Mode. Add to the Trusted Sites. Go to Privacy then click on Advanced button. On Advanced Privacy Settings window, check the boxes for Override automatic cookie handling and Always allow session cookies. On the Privacy tab, click the checkbox for Turn On Pop-up Blocker then add qbo.intuit.com.
Make sure to uncheck the checkbox for Turn On Pop-up Blocker afterwards. From Tools in IE, go to Compatibility View Settings then add and check the checkbox for Display All Websites in Compatibility View. On the Advanced tab in Internet Options, unclick the checkbox for Enable Enhanced Protected Mode.

Close then re-open IE. From the Tools in IE, go to Internet Options then Security tab. Click on Custom Level then disable the Enable XSS Filter and Scripting of Java Applets. I have been trying to export this file now for a few weeks and ive tried a million different things, but it will not convert over. I am on a windows 7 machine and have IE11. Ive went though all the above mentioned steps. If I do the compatibility mode step my screen goes white.
(I can’t see anything on the web page). When I hit convert with pro open to the no company selected page it gets to about 6 percent every time and completely crashes and asks me to try it again.
I have calls into support but constantly get the run around. Is there any light you can shed on my situation? Have you head of this issue before?
QuickBooks Sync QuickBooks Sync Recurring Payments can work with your QuickBooks company file. Access your QuickBooks customer list and invoice items to speed the creation of recurring payments. QuickBooks can even update your books automatically by creating and paying invoices for each actual payment processed. All you need to do is set up Sync Manager.
Then sync runs automatically on a regular schedule, and you don't need to do a thing. Note: If you create recurring payments without setting up Sync Manager,.
Set up Sync Manager (a one-time task). In QuickBooks, open the company file you want to sync with. Choose Online Services Set Up Intuit Sync Manager. Sign in using your merchant service center Sign-in Name and Password. If necessary, select an online business profile. If you've connected an Intuit service to more than one company file in the past, you may have to choose which of those online profiles you want to use.
It doesn't matter much which one you choose (Sync will still work with the company file you have open). Select the one that's most appropriate for the business you track with the open company file. Click Start Sync Now. If you accept JCB or Diners Club, create payment methods for these cards. If you want sync to automatically record JCB or Diners Club payments in QuickBooks, you must add these payment methods. To do so, open QuickBooks and choose Lists Customer & Vendor Profile Lists Payment Method List.
Then click Payment Method and select New. In the Payment Method field, enter the name Jcb ( J is capitalized and c and b must be lowercase). Click the Payment Type dropdown, choose other credit card and click OK.
Create another payment method the same way but in the Payment Method field name it Diners Club. How sync works Sync Manager is set to run automatically on a regular schedule, grabbing transactions from recurring payments and storing them online until the next time you launch QuickBooks.
Data also travels the other direction. If you add customers or items in QuickBooks, Sync Manager stores them online for recurring payments to retrieve. If you want, you can change the sync schedule or run sync manually any time you want. Change the sync schedule.

Sync limitation: If you change item or tax amounts at a later date, you must recreate related recurring payments After you create a recurring charge, avoid changing item price or tax information (this includes both item and customer tax rates) in QuickBooks. If you must do so, you need to recreate any recurring payments that reference the items or customers you changed. Recreating the recurring payment is the only way to avoid accounting problems. What happens: When you make an item or tax change in QuickBooks, the recurring payment amount WON'T change and you cannot edit it. But in QuickBooks, the auto-generated invoice WILL reflect the new amounts. When this occurs, the payment amount and invoice amount won't match, making it impossible for QuickBooks to record the payment against the correct invoice.
Note: If you were unaware of this issue and made changes that orphaned payments and invoices, you must match these yourself in QuickBooks. What to do if you must change price or tax information in QuickBooks: If you must change a price or tax rate, do so in QuickBooks, then create a new recurring payment and delete or disable the old recurring payment. If the change means that the customer is paying more, you probably need to have your customer sign a new authorization form. If you change only an item's description, you don't have to recreate the recurring payment since description won't affect the amount. Warning: Don't create a recurring payment for a customer assigned a foreign currency in QuickBooks. Doing so may cause accounting problems similar to those outlined in highlighted note you just read.
Recurring Payments currently bills only in US Dollars. My recurring payments list shows an Unknown Customer.

How can I fix this? This happens when you make a customer inactive in QuickBooks. To fix this problem, open QuickBooks, find the customer, and make them active again. After the next sync, the customer name will reappear in Recurring Payments.
